Notes
Writing a note, who can read it, sharing it with people or by link, expiry, and archiving.
A note is written text you keep — for yourself, for a Space, or for a few specific people. Notes shows your own notes and your Spaces' notes together, filtered by tag or searched by title.
Write a note
- New note, and choose Save in — your personal notes, or one of your Spaces. Writing a Space note needs the write capability for notes there.
- Give it a title and a body. The body is a rich editor, with headings, lists and the rest of the formatting.
- Add up to 10 tags.
On the web a note is saved as you write, and the editor shows Saved or Unsaved changes. Pin note marks a note as Pinned for you, and Unpin note takes the mark off.
A Space note keeps its history under Versions, for the people who can edit it: up to three earlier versions — each is the note as it was before a later save replaced it — plus up to ten you choose to keep with Name this version. Saves by the same person within 15 minutes count as one change. Restore this version brings one back. Personal notes keep no versions. A note also shows how many tasks were created from it, with View.
Who can read a Space note
A Space note has a Minimum role to view. Set it to any member, or to a higher level to keep a note among the people who run the Space. Only the note's owner can change it.
Personal notes are yours alone until you share them.
Sharing with people
Share grants specific people access, either view or edit. Search for someone by name, choose the access, and add them. People with access are listed, and you can take an access away at any time.
The search offers only people who do not already have a grant, so you cannot add the same person twice.
Notes shared with you appear under the Shared tab.
Sharing by link
A share link lets anyone holding it read the note without an account.
- The link stays in the share dialog with Copy on the web, and behind Copy link in the app. If it can no longer be shown, rotate it to get a new one: that stops the old link.
- Set an expiry and, optionally, a maximum number of uses. Links expire within 30 days at the most.
- Opening the link shows a safe introduction first. The reader chooses Open note to reveal it; only that action counts as a use. Chat previews and security scans do not use up the link.
- Revoke kills the link immediately. Per-person shares are unaffected.
Creating a new link always mints a fresh one and invalidates the old.
A share link is a key. Anybody who has it can read the note, so treat it as you would the note itself.
Expiry
A note can be given an expiry date and told what to do when it arrives:
- Lock makes it read-only. It stays where it is, and can still be read.
- Archive moves it to the archive.
A read-only note says so, and its edit controls are gone. Only the note's owner can set or change the expiry — including afterwards: Unlock on a read-only note clears its expiry and makes the note editable again.
Archiving and deleting
Archive takes a note out of your main list and puts it under the Archived tab, where it can be read and unarchived.
Delete is permanent and is confirmed first. It takes its shares and its share link with it.
