Roles and permissions
The five levels, what each one can do per tool, and what an owner may change.
Every Space has the same five levels, in the same order. What changes between Spaces is what the levels are called and what the lower three are allowed to do.
The five levels
Newcomer → Member → Moderator → Admin → Owner. A higher level can do everything a lower one can.
An owner can rename any of the five, so a Space may call them something else entirely. The order and the powers stay the same underneath, and Novagora shows the Space's own names everywhere.
There is exactly one owner at a time. See Space settings, ownership, and deletion.
What each level can do
Each tool has its own ladder of capabilities, and a level holds one rung of it — holding a rung includes every rung below it. These are the defaults a new Space starts with:
| Tool | Newcomer | Member | Moderator | Admin | Owner |
|---|---|---|---|---|---|
| Feed | Comment | Post | Moderate | Moderate | Moderate |
| Chat | React | Send | Moderate | Moderate | Moderate |
| Articles | Comment | Comment | Write | Approve | Approve |
| Events | View | RSVP | Manage | Manage | Manage |
| Tasks | View | Participate | Manage | Manage | Manage |
| Notes | None | Read | Write | Write | Write |
| Polls | View | Vote | Manage | Manage | Manage |
| Files | None | Use | Manage | Manage | Manage |
| Members | None | None | Moderate | Manage | Manage |
| Settings | None | None | None | Manage | Owner |
Reading the rungs:
- Feed react → comment → post → moderate; Chat read → react → send → moderate; Articles react → comment → write → approve.
- Files download → use → manage, where use is download plus upload.
- Members moderate is timeouts, restrictions and join requests; manage adds promoting, demoting, removing and banning.
- Settings manage is the Space's configuration; owner is the handful of things only an owner may touch.
What an owner may change
Under Settings → Roles, an owner can:
- Rename any of the five levels.
- Change what Newcomer, Member, and Moderator can do, tool by tool.
Admin and Owner are fixed at their defaults and cannot be edited. Four capabilities are reserved regardless: approving articles, managing members and managing settings all need Admin, and the owner rung of Settings is the owner's alone. This is what stops a Space from handing its own governance to its newest member.
Everyone else — Admins included — sees the same matrix read-only, so any member can check what their level allows.
Newcomer, and moving up
A Space picks the level new members arrive at — Default level in its settings, either Newcomer or Member. Starting people at Newcomer is how a Space keeps a light hand on somebody's first day.
Newcomers move up by themselves. Unless the owner turns it off, a Newcomer who has been in the Space for 7 days and written 3 comments there is promoted to Member automatically. Those are the defaults: the owner sets both numbers under Newcomer auto-promotion. Every other move between levels is a promotion by an Admin; see Managing members.
Restrictions sit on top
Moderation can narrow what a specific member may do — read-only, no posting, no chat, no articles — and can put them in a timeout. Those overlays sit above the role: they take capabilities away, never add them, and a timeout lifts on its own when it ends. See Managing members.
The rules gate works the same way. A member who was already in the Space when rules were published gets a week's grace and goes read-only after it if they have still not accepted; someone who joined after that publication and has accepted nothing is read-only straight away. Either way it lasts until they accept. The owner is never gated by it.
