Calendar and events

Your calendar, creating an event, repeats and single occurrences, RSVPs, capacity and waitlists.

The Calendar brings your own events together with those of the Spaces you belong to, and adds open tasks that have a due date so a deadline is not invisible next to a meeting.

Your calendar

Switch between the Agenda, Day, Week, and Month views and move through time with the navigation controls. A day with nothing on it says so rather than looking broken.

Times are shown in your timezone; an event's page names it. Change it under Language, appearance, and accessibility if you have moved.

A Space whose events you may not read is simply absent from your calendar. It is not an error, and a Space you leave stops appearing.

Create an event

  1. New event, and choose whether it is yours or a Space's. A Space event needs the manage capability for events there.
  2. Give it a title, and optionally a description, a location, a link, and a cover image. Its Time zone is yours unless you pick another.
  3. Set the start and end, or mark it all day.
  4. Optionally set a capacity. Leave it empty for unlimited.
  5. Optionally make it repeat.

Repeating events

An event can repeat daily, weekly, or monthly, with an interval — every second week, every third day. A weekly event can pick the weekdays (Repeat on), and a repeat either Never ends or runs Repeat until a date you choose. Every event carries its own timezone, so a weekly meeting stays at the same local time across a daylight-saving change; when it differs from yours, the event's page shows both.

A single date in the series can be changed on its own: give that one occurrence a different time, place, title, or description, or cancel just that date. The rest of the series is untouched.

Editing a repeating event first asks what to change — This event (that date only), All events, or This and following events (from that date on) — and says that attendees are notified of the change. Editing the whole series edits every occurrence that has not been overridden, and the answers people already gave are kept.

RSVPs

Attendees answer Going, Maybe, or Can't go. Going or Maybe comes with a reminder a day before; under Remind me you can change it to an hour or a week before, or to none. Only people who answered Going or Maybe, and are not on the waitlist, get a reminder. On a repeating event the answer belongs to the occurrence, so you can come this week and not the next.

The attendee list is one list, each row badged with its answer, above the number going and the number waiting. Everyone signed in who can see the event sees it.

Capacity and the waitlist

When an event has a capacity and it fills, further people going are placed on a waitlist in the order they answered. The attendee list shows both counts, so an organiser can see how much interest there is beyond the room.

Changing your answer to not going frees your place: the first person on the waitlist moves up and is notified.

Changing and cancelling

Editing an event notifies the people who answered. Deleting it is confirmed first, removes it for everyone, and tells the people who answered.

To call off one date of a repeating event, Skip this occurrence instead (Skip in the app) — it is confirmed separately and leaves the series in place.

Sharing an event

Events have their own address. A public Space's event opens for anyone, including people who are not signed in; an event in a private Space opens only for members. Tasks linked to an event are shown on it — see Tasks.
