Tasks and boards
Your task list, a Space's board, assignees and role pools, links, comments, and the activity trail.
Tasks are work you want to keep track of. You have your own, and each Space has its own board. Tasks shows both together; a Space's board shows only that Space's.
Your task list
The list can be filtered by status, priority, assignee, and due date — any, overdue, due today, due this week — and searched by title. Show done brings completed work back into view; it is hidden by default.
Group the list by status or by due date, or turn grouping off.
Tasks with a due date also appear on your calendar.
Create a task
- New task, and choose the owner. The form says whether it is going on your personal list or on a Space's board.
- Give it a title, and optionally a description.
- Set a priority — none, low, medium, high, or urgent.
- Optionally set a start date and a due date.
- Optionally assign it.
- Check its Visibility — it starts at the default, see Who can see a task.
Creating a Space task needs the participate capability for tasks there. Assigning it to somebody else needs manage. A task on your personal list can be assigned only to you.
A task can also carry a Checklist — small items to tick off, which you can add, rename, reorder and remove. The task shows how many are done.
Who can see a task
Every task has a Visibility. On a Space's board:
- Private — only whoever created it and its assignees. A task offered to a role pool cannot be private.
- Members — the Space's members whose role can see tasks.
- Public — anyone who can see the Space, including people who are not members or not signed in. They can read it, but not comment, claim or move it. Only a public Space can have public tasks; if the Space becomes private, its public tasks are seen by members only.
On your personal list:
- Private — only you.
- Followers — people who follow you.
- Public — anyone who can see your profile. If your account is private, that is still only your followers.
Tasks shared with followers or the public show on your profile's Tasks tab, for the people allowed to see them.
A new task starts at a default. A Space's admins set it in the Space's settings with Who sees new tasks; if they never do, it is Members. Your personal default is in privacy settings, under Who sees your new tasks; until you change it, it is Private.
The board
A Space's tasks can be read as a board of columns or as a list. Move a task between columns by dragging it, or with Move to (followed by the column's name) from its row — which is also how it is done with a keyboard or a screen reader.
Anyone who can manage the Space's tasks can add, rename, reorder, and delete columns of their own. Every column belongs to one of five categories — Backlog, To do, In progress, Done, Canceled — which is how Novagora knows what counts as finished. The five that come with every board cannot be renamed or deleted.
Deleting a column moves its tasks to To do rather than deleting them, and says so before you confirm.
Assignees and role pools
In a Space, a task can be assigned to specific people, or offered to a role pool with Assign to role — any member at or above a given level — so whoever picks it up takes it. Assignees must be at or above the pool's level too.
Claim this task assigns it to you. The assignee list shows who is on it, and says when nobody is. People are notified when they are assigned, and assignees are reminded a day before the due date while the task is still open.
Linking a task to something
A task can link to an event, a post, an article, or a note. Search for it by title or text, or paste its link or ID, and it appears under Links.
Removing a link removes only the connection; the event, post, article, or note is not touched, and the confirmation says so.
Comments and activity
Comments are the conversation about the task. Activity is the record: who created it, changed the details, moved it between statuses, changed the assignees, claimed it, linked or unlinked something, or commented.
The activity trail is not editable — it is what tells you why a task is where it is.
Deleting
Deleting a task is permanent and is confirmed first. Its comments, checklist, and activity go with it. If you only want it out of the way, move it to a Canceled column instead.
